Friendly policies

We do our best at ChangingGear to make your rental experience a pleasant one. If you have any questions or your rental needs fall outside of our normal bookings please let us know and we will work with you to find a solution.

Bookings can be completed online, over the phone or via email. Payments can be made by credit cards, Interac transfers or cash. Payment is required at the time of the booking. You will receive an email confirmation of your booking and a reminder email prior to picking up your rentals.

If a cancellation occurs with less than 72 hours notice a 50% change fee applies. This will be 50% of your booking total. Outside of that time period cancellations are given a full refund. Please contact us via phone or email to arrange a refund. You can change your booking if items are still available anytime prior to 72 hours before your rental.

The rental rate is based on a per night basis. We can arrange for shorter rentals if necessary.

Unless special arrangements have been made prior to your pick-up, you may pick-up your rental any time during business hours on the first day of your rental and may return no later than closing time on the last day or your rental. Either you or someone else can pick up your order. If another person will be picking up they will need to know what name your order is booked under and settle any remaining balance owing on the account they will need to sign the waiver and will be responsible.  If you require your rental items to be picked up or returned outside of business hours please let us know and we will do our best to arrange.

We require an authorization on your credit card for most items – the complete list of deposits required is here. The maximum authorization put against a credit card will be $350. An imprint of your card will be taken. The authorization will come off your card within 7 to 10 business days. Photo identification is required on all rentals and out of country renters must present a passport. You must be 18+ years old to rent from ChangingGear. We do not accept pre-paid or debit-credit cards as a deposit. All tent rental returns will require an additional 24 hours to process to ensure that the tent has been properly setup and tested and is still in the condition that it was rented. All other rentals will be ChangingGear’s responsibility once they are returned to the store and the drop off process has completed.

We do our best to make sure your rental gear is in top shape at the time of your rental. If you discover any missing or damaged items upon receipt, please contact us immediately so that we can make a note on your account and make arrangements to replace the items if desired. If it is after store hours please leave a message or email us. We will contact you as soon as possible.

If you do have missing or damaged items upon return, you will be informed as soon as possible. If the missing items cannot be found or if we are unable to contact you or the person responsible within 48 hours of your specified return date, replacement fees will be automatically charged to the credit card on file. If any items can be located and returned within one week of your specified return date, we will refund the full amount. No refund after one week. Repair fees for damaged items must be paid upon receipt of an invoice. Any items considered un-rentable by ChangingGear standards will be charged at full replacement value.The customer is responsible for the goods from the time of pick-up/delivery until the items are returned to ChangingGear.  We do charge for;  broken, damaged or missing items. If rental equipment is returned in damaged condition the renter will be responsible for cleaning and repair costs. Shop rate will be charged ($35/hr, $10 minimum), plus any parts and materials for cleaning or repair. Replacement cost for lost, stolen or destroyed rental equipment is full retail value.

You (the customer) are responsible for returning rental items in the same condition in which they were received, except for ordinary wear and tear. You are liable for the replacement cost of damaged or lost items. No loss of any type will be covered.

Rental items are charged for time out, not for use. Every item that leaves ChangingGear is treated the same way upon return, used or not. This ensures that every item you receive is clean, sanitized, and food safe. No refunds are given for items that were not used during your rental

Your gear must be returned to us dry, free of mud and heavy dirt. If not a cleaning charge will be applied

Late rentals will be charged a full day rate for each day that the items are late. If you are not able to return your rentals on time, please inform ChangingGear so that we are able to make a note on your account and we are quite reasonable if there are extenuating circumstances. If we require the items for another order, we will make arrangements to pick the items up ourselves.
